The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)
  • Name
  • Telephone numbers
  • Email Addresses

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • From the original signed leases at the point of installation of the solar system
  • We also receive personal information indirectly, from the following sources in the following scenarios:
  • Councils will send updated details of tenants that have solar systems on the properties they are currently living in
  • Updates from the solar panel owners when customer(s) update details
  • Solicitors will update contact details when a purchase of a property is happening that has a leased system in place

We use the information that you have given us in order to contact homeowners and tenants when there is an issue with the Solar PV system and to book site visits to the property

We may share this information with solicitors, councils (if the person in question is a tenant) and with Licensees who process FIT payments in relation to the solar system; in turn this may be passed to a 3rd party meter reading company to independently verify the meters.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) We have a contractual obligation.

(b) We have a legal obligation.

(c) We have a vital interest.

(d) We have a legitimate interest.

Your personal information was collected at the point you signed the lease with the solar panel owners, as the appointed operations and maintenance provider we will hold contact details to help facilitate continuous generation by the system.

Contact information can be passed to 3rd party licensee’s to arrange meter inspections in line with FIT legislation to verify production. Access must be granted by the home owner or tenant as part of their commitment in the lease.

 

How we store your personal information

Your information is securely stored on our Monitoring, CRM and File storage systems.

We are committed to collecting, processing, storing and destroying all information in accordance with the General Data Protection Regulation, UK data protection law and any other associated legal or regulatory body rules or codes of conduct that apply to our business and/or the information we process and store.

We retain names, addresses, and contact details for the duration of the leases that are commonly 25 years and 3 months. We will then dispose of your contact information in accordance with our Data Deletion Policy.

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
